📖 How To Access Counseling Session Notes and Letters

Follow these steps to view, download, or share your counseling session notes and letters through the Impact Family CRM system.

1. Log in to the CRM or Client Portal

1. Go to: https://crm.impact.vision/admin or the client portal login page.

2. Enter your username and password.

3. OPTIONAL: Choose your login method:

   • One-Time Password (OTP) via Email — You’ll receive a link or code sent to your email, use that to log in.

   • One-Time Password (OTP) via SMS — You’ll receive the login code via text message on your phone.

4. If required, complete two-factor authentication for extra security.

2. Navigate to the Client’s Profile

• On the left-hand menu, click Customers (or use the search bar at the top).

• Type the client’s name and select their profile.

3. Open the Notes & Letters Section

• Inside the client profile, find and click the Noteboard tab.

• This is where all session notes, letters, and attachments are stored.

4. Accessing a Session Note

• Scroll to the note you want to read (often the most recent).

• Click View to expand full content.

• If it has attachments, click the link to open or download.

5. Accessing a Letter

• Letters appear in the same Noteboard section.

• Click the letter title to expand and read.

• To download, use the Download button or “Open in New Tab” option if available.

6. Sharing Notes or Letters With Clients

• Each note or letter has a Share with Client button (inside its view).

• Clicking that makes it visible in the client’s portal.

• ✅ Tip: Only share finalized and reviewed documents (i.e. compliant, accurate).

7. Best Practices

• Double-check the client’s name/profile before sharing anything.

• Use clear, professional language — letters or notes may be read by clients.

• For corrections or edits after sharing, make a new note rather than editing shared content (for audit/compliance tracking).
